Informatics Travel Procedures.

Recommendations before getting started (For School of Informatics Staff)

  • Register as a travel booker with Diversity Travel here
  • Make sure your traveller profile is up to date. This will make things much easier whether booking via Institutes admin or self-service. 
  • Review the University’s policies on sustainability and business travel. This will reduce the chances of any surprises, delays or disappointments further down the line. 
  • You can email the Edinburgh reservations team at UOE@diversitytravel.com to request a quote as an alternative to using the online portal. 
  • Get as much organised beforehand as possible: Traveller profile, risk assessment, approval from budget holders and verification of codes.
  • Account for price fluctuations. If you need to delay completing a booking for any reason, expect an increase in price.  
  • Submit a considered risk assessment following Health and Safety guidance. Declined risk assessments could add considerable time to the booking process.
  • Diversity can no longer book discounted conference hotels. If you have a discounted rate available, you will need to book it yourself and claim back the expense. Any discounted rate should still comply with the travel policies. 
  • If you’re unsure about anything, please check with institutes admin before proceeding with booking. 
  • If you’re unhappy with Diversity’s policy, pricing or general service, please refer to the escalations and complaints procedures available on Booking travel | The University of Edinburgh. Please CC the Institutes Administration Team and Louise.Connolly@ed.ac.uk into your email.
